Handling of Personal Information

The Company will properly handle personal information in compliance with the Law concerning Protection of Private Information (the Privacy Law) and other relevant laws and ordinances, guidelines for protection of private information in the financial sector and other guidelines, and the "Guidelines for Private Information Protection of Non-life Insurance Companies" issued by the General Insurance Association of Japan, and will take appropriate measures to ensure that personal information is securely managed in accordance with practical guidelines issued by the Financial Services Agency and the General Insurance Association of Japan, in light of the importance of protecting private information and to enhance society's confidence in the non-life insurance industry.

The Company will conduct education and training for its employees so that personal information is properly handled, and is working to ensure personal information is handled properly. The Company will also, from time to time, review and improve the handling of personal information and appropriate measures to ensure that personal information is securely handled.

1. Collection of Personal Information

The Company will collect personal information in a lawful and proper manner to the extent necessary for its business.

The Company will collect personal information mainly from application forms, contracts, insurance claim forms, business documents, questionnaires and other relevant documents. The Company may also collect personal information by recording inquiries or consultations conducted over the telephone to accurately record the details of such inquiries or consultations.

2. Purpose of Use of Personal Information

The Company will not use any collected personal information beyond the extent necessary for the purposes described below and listed in Clause 4 (the "Purpose of Use").

The Purpose of Use will be declared on our website and published in application forms, brochures and other informational documentation. Moreover, if the Purpose of Use is changed, the Company will give you notice of the details of such changes, or make a public announcement of such changes on its website or in other publications.

  1. (1) Examination, underwriting, performance (including investigating insured events or payment of proper insurance benefits) and management of insurance policies, explanations and provision of other products and services of the Company or its Group Companies (including examination, underwriting, performance and management of insurance policies by its group companies), and explanations and provision of products and services of business partners, contractors or other entities

  2. (2) Collection of receivables held by the Company
  3. (3) Research and development of products and services relating to insurance and finance through market research, data analysis, questionnaires
  4. (4) Performance of contracted services in an appropriate manner if, for example, the Company is commissioned to process all or some personal information (data) by another entity
  5. (5) Otherwise appropriately and smoothly conducting transactions with customers

3. Provision of Personal Data to Third Parties

The Company will not provide personal data to a third party without your consent, unless such provision is:

  1. (1) required under laws or ordinances;
  2. (2) to business partners, including insurance agents, to the extent necessary to conduct the Company's business;
  3. (3) to a third party in accordance with the procedures prescribed in Article 23, Paragraph 2 of the Law concerning Protection of Private Information (Opt-Out); or
  4. (4) to use your personal data jointly with a group company of the Company, another non-life insurance company, the Ministry of Land, Infrastructure and Transport, or another entity (please see Clause 4 below).

4. Joint Use of Personal Data

  1. (1) Joint use with the Company's Group Companies
    The Company and its Group Companies may jointly use personal data to explain or provide products and services under the following conditions between such companies:

    • Any other details of any policy and the details of insured events set out any application or other similar documentation

    Joint users and responsible persons

    Group Companies are limited to subsidiaries and consolidated companies, and the Company shall be responsible for use of your personal information within the group. Please see here for a list of the Company's Group Companies.

  2. (2) Non-life Insurance Industry Information Exchange System
    The Company will jointly use personal data with non-life insurance companies and other entities to eliminate misconduct upon execution of insurance policies or filing insurance claims. The Company will also jointly use personal data with the Non-Life Insurance Rating Organization of Japan to appropriately pay insurance benefits for compulsory automobile liability insurance.   3. (3) Provision of Personal Data to the Ministry of Land, Infrastructure and Transport for Prevention of Uninsured Scooters (not more than 125cc) and Small Motorcycles (more than 125cc and not more than 250cc)
    Because the Ministry of Land, Infrastructure and Transport sends a postcard to confirm if a policyholder owning a scooter or small motorcycle has compulsory automobile liability insurance whose term of contract is deemed to have expired for the purpose of blocking scooters or small motorcycles without compulsory automobile liability insurance, the Company will provide the Ministry personal information regarding compulsory automobile liability insurance of the above types of vehicle, and use such personal information jointly with the Ministry at the responsibility of the Ministry.

    The following personal data will be jointly used:

  4. (4) Information Identification Services of Insurance Agents

    The Company will use personal data of employees of non-life insurance agents and other entities jointly with other non-life insurance companies to appropriately supervise non-life insurance agents and recruit personnel of the Company. The Company will also use personal data of information of persons who have passed a non-life insurance solicitors examination or other tests conducted by the General Insurance Association of Japan for commission to non-life insurance agents. 5. Handling of Credit Information

The Company will not use information provided by any credit information organization (which means any organization designed to collect information regarding your personal ability to meet your debt payments and provide such information to the Company) and regarding your ability to meet your debt payments for any purpose other than investigating your ability to meet your payments in accordance with Article 53-9 of the Enforcement Regulation of Insurance Business Law.

6. Handling of Sensitive Information

The Company will not collect, use or provide to a third party any personal information (hereinafter referred to as the "Sensitive Information") regarding your political views, faith (which means religion, philosophy and creed), membership in a labor union, color and race, ancestry and domicile by birth, healthcare and sexual life, or criminal record in accordance with Article 53-10 of the Enforcement Regulation of Insurance Business Law, unless:

  1. (1) the Sensitive Information is collected, used, or provided to a third party with your consent when necessary for business if required to secure the appropriate operation of insurance business;
  2. (2) the Sensitive Information is collected, used, or provided to a third party when necessary to conduct insurance benefit payment services and other services according to the procedures for inheritance;
  3. (3) the Sensitive Information of employees or other personnel regarding affiliation with, or participation in, a political or eligious organization or labor union is collected, used, or provided to a third party when necessary to conduct insurance premium collection services or other services;
  4. (4) required under laws or ordinances;
  5. (5) required to protect a person's life, limb or property;
  6. (6) specifically required to improve public health or promote sound development of children; or
  7. (7) required to cooperate with governmental agencies, local public agencies or a person commissioned by those agencies to perform services prescribed under the laws or ordinances.

7. Request for Disclosure or Amendment

  1. (1) Inquiry for details of insurance policies and insured events
    Please direct inquiries for any details of insurance policies and insured events to the office described below. The Company will provide a response after confirming that you are the requesting party. The Company will correct any collected information that is not accurate.
  2. (2) Notice of matters, disclosure, amendment, or suspension of use of personal information held by the Company under the Law concerning Protection of Private Information
    Please direct requests for any notice of matters, disclosure, amendment, or suspension of use of personal information held by the Company under the Law concerning Protection of Private Information to the office described below.

The Company will, after confirming that you are the requesting party and requesting you to complete a formdesignated by the Company, take procedures, and, in principle, provide a written response soon thereafter. The Company will charge prescribed fees for a response to a request for disclosure. Please see here for the details of request procedures.

If, as a result of any necessary investigation by the Company, any of your information is found to be inaccurate, the Company will correct such information based on the results of such investigation.

8. Summary of Measures to Ensure the Secure Management of Personal Data

The Company will take full security measures such as establishing handling regulations and other rules and developing operation system for secure management measures to prevent any divulgence, loss or damage to personal data handled by the Company and to ensure that personal data is otherwise securely managed.

Further, if the Company commissions any other party to handle personal data, the Company will establish a basis of selection of contractors, and conduct necessary and appropriate supervision over such contractors by checking an information management system of such contractors in advance.
